Plain-English summary: We collect your contact details and study preferences to help match you with the right university. We do not sell your data. You can ask us to delete it any time.

  • Academic profile: Educational background, grades, qualification level, English proficiency scores (e.g. IELTS, TOEFL), intended course level (undergraduate, postgraduate, etc.).
  • Study preferences: Preferred country, subject area, budget range, intended intake date.
  • Communication content: Messages, notes, and information shared during counseling sessions, email threads, or WhatsApp conversations.
  • Documents: Transcripts, certificates, statements of purpose, or other documents you voluntarily share for application purposes.

2.2 Information collected automatically

  • Usage data: Pages visited, time on page, referral source, clicks.
  • Device & browser data: IP address, browser type, operating system, screen resolution.

3. How we use your data

We use your personal data only for the following purposes:

  • Providing counseling services: To assess your profile, shortlist suitable universities and programmes, and guide you through the application and visa process.
  • Communication: To contact you about your enquiry, send programme information, and follow up on applications.
  • Service improvement: To analyse how our website is used and improve user experience.
  • Webinars and events: To send invitations and materials for events you have registered for.
  • Legal compliance: To meet obligations under applicable laws including data protection, immigration, and anti-money-laundering regulations.
We do not use your data for automated profiling or decision-making that has legal or significant effect on you. All university recommendations are made by human counselors.

The legal basis for processing your data is: your consent (given when you submit a form), contractual necessity (to deliver counseling services you requested), and legitimate interests (website analytics and service improvement).

We do not sell, rent, or trade your personal information to any third party. We share your data only in the following limited circumstances:

4.1 Partner universities

When you authorise us to submit an application on your behalf, we share your academic profile and contact details with the relevant university or college. We will always seek your explicit consent before sharing any data with a specific institution.

4.2 Service providers

We use trusted third-party service providers to operate our website and services, including:

  • Email marketing platforms (for newsletters and webinar invitations)
  • CRM software (to manage counseling records)
  • Cloud storage providers (to securely store documents you share)
  • Website analytics tools (anonymised usage data)

All service providers are contractually required to process your data only on our instructions and in compliance with applicable data protection law.

4.3 Legal requirements

We use session storage (cleared when you close your browser) to suppress certain UI prompts after they have been shown once — such as our exit-intent offer. This stores no personal data.

6. Data retention

We retain your personal data for as long as necessary to provide our services and comply with legal obligations. The following retention periods apply:

  • Active clients: For the duration of our counseling relationship and up to 3 years after your enrolment at a university (for post-study support and references).
  • Enquiry-only contacts: Up to 18 months from your last interaction with us, after which your data is deleted or anonymised.
  • Financial records: 7 years, as required by Canadian and applicable local tax law.
  • Webinar attendee data: 12 months after the event.

After the applicable retention period, your data is securely deleted or anonymised so it can no longer be linked to you.
